How to Add Editable Text Boxes to a PDF

Add editable text boxes to any PDF — for filling forms, labelling images, or writing notes directly on the page.

3 min readAdd a text box

You've got a scanned form with no fillable fields. Printing, writing, scanning back is the slow path. Adding text directly on the page is the fast one.

Text boxes are placed wherever you click. Type, set the size, pick a font. The result looks like the text was always there.

Open the PDF and pick the text tool

Drop the file into Flint's editor, select the text tool, and click where you want to write. A text box appears under the cursor and accepts typing immediately.

For multi-line text, drag to define the box width first — text will wrap inside that width.

Match the surrounding style

If you're filling a form, match the font to whatever the form uses (usually Helvetica or Arial at 10-11pt). Black text on white blends in. Blue text reads as "added by hand" — sometimes useful, sometimes wrong.

For labels on a diagram or chart, pick a font with personality (sans-serif for technical, serif for editorial). Keep size consistent across all labels in the same diagram.

Move and align

Drag text boxes around freely. Use the alignment guides to snap to existing content — column edges, baseline of nearby text.

For forms with rows of blanks, place one text box, then duplicate (cmd/ctrl+D) and drag down. Alignment is much easier than placing each box from scratch.

FAQ

Can I edit the existing text in a PDF?

Sometimes. If the PDF has live text (not a scan), the editor can edit it. For scanned PDFs, run OCR first to make the text editable.

What font sizes look right?

10-11pt for body text, 14-18pt for headings, 8-9pt for fine print. Match what's already on the page if you can.

Can I change text colour?

Yes. Pick any colour for the text box. Black is safest; coloured text reads as added-on annotation.

Will my text be selectable after saving?

Yes, unless you flatten the PDF. Flattening locks the text into the page so it can't be edited or selected separately.

Text boxes turn any PDF into something you can write on. Open the file in Flint's editor and type wherever you need to.
