How to Add a Stamp to a PDF (Approved, Paid, Received, Custom)

Stamp PDFs with APPROVED, PAID, RECEIVED, or custom image stamps — single-page or every page, with full control.

An invoice lands, you pay it, and now it needs PAID stamped on the front before going into the records folder. Twenty years ago this was a rubber stamp on a desk. Now it's a five-second job in a browser.

Stamps are visual shortcuts. They tell anyone glancing at the document its status — approved, paid, received, draft — without reading a word.

Pick or build the stamp

Flint's editor ships with the common ones — APPROVED, PAID, RECEIVED, DRAFT, CONFIDENTIAL, VOID. Pick from the menu, position it, done.

For a custom stamp — a company seal, a signed approval graphic, a department mark — upload it as a transparent PNG. Anything else (JPEG, opaque PNG) leaves a white box behind it.

Position with intent

Top-right is the convention for status stamps. Diagonal across the centre is the convention for VOID and DRAFT — it shouts "don't act on this".

For multi-page documents, decide whether the stamp belongs on page 1 only (a status mark on the cover) or every page (DRAFT/CONFIDENTIAL stamping).

Save and lock

Flatten the file on save. A stamp added as a removable layer isn't really a stamp — anyone can drag it off. Flattening fuses it with the page so it behaves like an actual rubber stamp would.

If the document needs to be tamper-evident, add a password too. The combination of flattened stamp plus password is what makes a document feel authoritative.

FAQ

Can I use my own logo as a stamp?

Yes. Upload a transparent PNG of the logo or seal. Keep the resolution high (300+ dpi at print size) so it stays crisp when zoomed or printed.

Are dynamic stamps with dates and names possible?

You can include a date or name in the stamp text at the time of placement. PDFs don't update stamp contents dynamically — once placed, the values are fixed.

Will the stamp print at the right size?

Yes. Stamps are placed in document coordinates, so what you see on screen is what prints. Test by zooming to actual size before exporting.

Can I stamp every page at once?

Yes. Apply the stamp to the full page range in one pass. A 100-page document takes the same time as a 1-page document.

Stamps are how documents signal status at a glance. Open your file in the editor, drop the right stamp, and move on.
