How to Edit Text in a PDF

A typo in a $40,000 quote. A wrong date on a signed contract. The previous tenant's name still on a lease template. These are the small but high-stakes edits that send people looking for a way to change text in a PDF without rebuilding the document from scratch. The good news: in most cases, it's a click and a keystroke. The honest news: PDFs were never designed for editing, so there are a couple of edges where it gets tricky.

How PDF text editing actually works

Word documents store text as flowing paragraphs. PDFs store text as positioned runs — “put this glyph at this x,y coordinate in this font.” When you edit a PDF, you're not changing a paragraph and letting it reflow; you're replacing a positioned run with a new one. That has two consequences:

Replacements work best when they're roughly the same length as the original. Replace “14 March 2025” with “21 March 2025” and nothing else moves. Replace it with a whole new sentence and you'll overflow the line.
The font has to come along. Flint extracts the original font from the file when possible and renders your edit in it, so the patch is invisible. Where that fails (we'll get to that), we fall back to the closest standard face.

Editing text in Flint, step by step

Open the file and switch to Edit text

Drop your PDF into Flint's editor, click Edit text in the left rail. Every line of editable text on the page gets a hairline dotted border so you can see what's addressable.

Click the line, then double-click to type

Single-click selects a line. Double-click drops a text cursor inside it, in the same font and size as the surrounding prose. Type your replacement; the original is covered with a clean white rectangle and your new text painted over.

Hit Apply, download the new PDF

Apply locks the edit in. The downloaded PDF has the new text baked into the page, the original line gone, and (where possible) the same font as the rest of the document. Your original file stays as a previous version in your library.

The five edits people actually do

Date changes — contract effective dates, renewal dates, invoice issue dates. Usually a 1-for-1 length swap. Easiest possible edit.
Name swaps — recipient's name on a contract template, signer block. Watch for length: replacing “Jo Tan” with “Christopher Williamson-Smith” will overflow.
Number corrections — wrong invoice total, wrong purchase order number. Length usually matches.
Email address fixes — the contact email at the bottom of a brochure now points to the wrong inbox. One-line replace.
Single-word swaps — “monthly” should be “quarterly,” “Q3” should be “Q4.” A two-second edit.

If your edit is bigger than these — replacing a paragraph, rewriting a section — you're past the point where PDF editing is the right tool. Round-trip via PDF to Word, edit in Word where reflow is built in, then convert back via Word to PDF.

Where text editing gets tricky

Custom corporate fonts

Brand guidelines often specify a custom font — Inter, a bespoke foundry face, an Adobe Fonts licence. When PDFs are produced, they typically embed only the glyphs the original document used (this is called “subsetting”). If your edit introduces a character that wasn't in the original — say, a £ symbol that wasn't there before — we can't find a glyph for it in the embedded font, and we fall back to a close visual match. Usually invisible, sometimes noticeable.

Tabular data and aligned columns

Editing a single cell in a PDF table mostly works, but column alignment depends on character widths. Swapping a narrow number for a wide one (1 → 8) is fine; swapping a whole word for a longer one in a column header may visibly shift the right border.

Footers and repeating elements

If a page number or footer is on every page, you have to edit each one individually — PDFs don't have the concept of a “master page” the way InDesign does.

Tips for clean edits

Edit before you sign. Once a PDF is signed, the signature's audit trail expects the content to be exactly what was signed. Editing after that point invalidates the signature.
Keep edits short. Match length where possible. Long replacements work but may need a font-size tweak to fit.
Proofread the result. Auto-saved versions mean a typo gets shipped if you don't catch it. The preview in Flint's editor is exactly what the downloaded file will look like.
For sensitive removals, redact. If you're removing text because it's confidential, use Redact PDF instead — it strips the bytes rather than just covering them.

Frequently asked questions

Will the font match the rest of the document?

In most cases, yes. Flint reuses the source PDF's embedded font for your edit. Where the original font is a narrow subset that doesn't cover your new characters, we fall back to a visual match.

Can I edit a PDF that came from a scan?

Not directly — scans are images, not text. OCR via PDF to Word is the standard path. After OCR you have a real text layer to edit.

Is my edit reversible?

Yes. The original PDF stays as a previous version in your library. Open it from My Documents and you can roll back.

What about Acrobat Pro?

Acrobat Pro's text editing is excellent and offers a few more tools (paragraph reflow, in particular). If you're editing PDFs every day, it's worth the licence. For the occasional fix on a borrowed machine, Flint is the faster path.
