Capture: filter Stripe emails into a folder
Set a Gmail filter (or Outlook rule) that routes every Stripe email into a `/PDFs/Stripe` folder. Mark as read; don't sit in the main inbox.
Save the PDF attachments — or print the email to PDF if Stripe sends inline — to `/Receipts/<year>/<month>/`. Set up auto-save if you want to remove the manual step.
Monthly merge
On the 1st of the month, merge the previous month's Stripe receipts into a single pack: `2025-08_Stripe_Receipts.pdf`. Order chronologically.
For buyers, this is the expense pack. For sellers, it's the revenue evidence pack. Same workflow, different uses.
Compress and archive
Stripe receipts are typically small, but merged packs of 50+ can still benefit from compression. Archive in `/Archive/Receipts/<year>/`.
For accountant submission, the monthly merged pack is what gets sent. One file per month per category.
Annual reconciliation
At year-end, merge the twelve monthly Stripe packs into one annual document. Cross-check against Stripe's annual export and your accounting system.
Discrepancies between Stripe's dashboard total and your receipt pack are caught here, not at tax time.

Should I rely on Stripe's dashboard instead of receipts?
Stripe's dashboard is authoritative for revenue/expense numbers. Receipt PDFs are the supporting evidence and what most accountants/auditors want to see.
Can I auto-merge Stripe receipts?
With Zapier or similar, partially. A monthly manual merge is also reasonable — 5 minutes per month for clean records.
What about refunds and chargebacks?
Stripe emails for these too. Include in the monthly pack for a complete record. Net them against the corresponding original receipts in your books.
Should I redact card numbers in receipt packs?
Stripe receipts only show last 4 digits typically — no full card numbers. Generally safe to archive as-is.
Stripe receipts are easy to organise once you start. Merge this month's pack in Flint and put next month in the calendar.
