Three weeks before your tax return is due, you start hunting receipts. Two weeks before, you start hunting statements. One week before, you start hunting invoices. By the day of, you're exhausted and you've still missed three things.
A quarterly rhythm fixes it. Thirty minutes, four times a year. That's it.
Set up quarterly folders
Inside `/Archive/Finance/<year>/`, create `Q1`, `Q2`, `Q3`, `Q4`. Inside each, subfolders for `Statements`, `Receipts`, `Invoices`. That's the entire structure.
Don't go deeper. Three categories per quarter is enough. Going deeper hides files; staying shallow keeps them findable.
On the last day of each quarter, do the merge
Open each subfolder, sort by date, merge into a single quarter pack: `2025-Q3_Statements.pdf`, `2025-Q3_Receipts.pdf`, `2025-Q3_Invoices.pdf`. Three files per quarter.
Thirty minutes if you've been disciplined during the quarter; an hour if you've been catching up. Either way, far less than the four-day annual scramble.
Compress and store the quarterly packs
Quarterly packs can get large — sometimes 50+ MB. Compress each one before archiving. Reductions of 70%+ are common for receipt-heavy packs.
The compressed quarterly pack is what your accountant gets. One file per category per quarter; three files per quarter total; twelve files for the year.
Annual pack is just merging the four quarters
At year-end, merge the four quarterly packs into one annual pack per category. `2025_Statements.pdf`, `2025_Receipts.pdf`, `2025_Invoices.pdf`.
Three files. That's your whole year of financial paperwork. Tax season becomes a 15-minute conversation, not a four-day project.

What if I miss a quarter?
Catch up at the next quarter boundary. You'll spend an hour instead of 30 minutes, but the structure still works. Don't skip a year — gaps make audit trails harder.
Should I redact account numbers in quarterly packs?
If the packs leave your machine (sent to accountants, attached to applications), yes — redact full account numbers, leave the last 4 digits. If they stay private, no redaction needed.
How do I handle receipts that arrive after quarter-end?
File in the quarter the transaction occurred, not the quarter the receipt arrived. Late receipts go into the closed quarter pack via a 'late additions' merge at year-end.
What about quarterly reports for the business?
Add a `/Reports` subfolder per quarter. P&L, cash flow, KPI snapshots — same merge-into-pack approach. Your accountant or board sees one quarterly file.
