Photograph paper receipts
Every paper receipt becomes a photo. Use a phone scanner app (built into iOS and Android) for clean, straight, properly lit captures. Organise by category
Standard categories: travel, subsistence, materials, professional services, equipment, utilities, communications. Sort receipts by category before combining. Within each category, sort by date. Build an index
A one-page index at the front listing categories, page numbers, and totals per category transforms the pack from a pile into a record. Build it last, after pagination is locked. Cross-reference each receipt's index entry to the tax computation if you're providing both together.
Compress and store
Photo receipts are heavy. Compress PDF the final pack to bring it under email size if needed. Store the pack in your tax workflow alongside the return — HMRC may request to see receipts up to six years later, and a single well-named PDF beats finding individual files at that point.
